Terms of Service

These terms govern your use of booki, a practice-management service operated by booki Health Ltd ("booki", "we", "us"). By creating an account or using the service you agree to them. If you don't agree, please don't use booki.

1. The service

booki provides online tools for health and wellbeing practitioners — including scheduling, client records, clinical notes, invoicing, payments and communications. We may add, change or remove features over time.

2. Your account

You must give accurate registration details and keep your login secure. You're responsible for everything done under your account, including by anyone you add to your practice. You must be a practising professional (or acting for one) and use booki lawfully.

3. Free trial

New practices get a 21-day free trial. No payment is taken during the trial, and you can cancel anytime before it ends without being charged. If you don't subscribe, your account moves to a limited state at the end of the trial (see "Cancellation, lapse and data retention" below).

4. Subscription and billing

Paid subscriptions are billed monthly in advance via our payment processor (Stripe). The standard price is £19 per month per practice. Eligible discounts (for example, recognised membership schemes or referral credits) may reduce this, subject to a minimum monthly price. Discounts apply from your next invoice and may change or end as described when they're offered.

We may change our prices; we'll give reasonable notice of any increase, which takes effect from your next billing period. Taxes may be added where applicable.

5. Referrals

If you're referred by an existing subscriber you may receive a recurring discount for as long as you remain subscribed. A referrer may receive a recurring discount for each person they refer who becomes and stays a paying subscriber; that credit ends if the referred subscriber stops paying. Referral credits have no cash value and may be varied or withdrawn.

6. SMS credits

SMS messaging is an optional paid add-on, purchased as prepaid credits. Credits are non-refundable and non-transferable, and remain on your account if you resubscribe.

7. Cancellation, lapse and data retention

You can cancel anytime from your billing settings. You keep full access until the end of the period you've paid for. We don't provide refunds for partial periods — this does not affect any rights you have under applicable consumer law (including, where it applies, a 14-day cancellation right after your first payment).

If your subscription ends or a trial lapses without subscribing, your account becomes read-only — you can still view and export all your data, but not create, edit or send. We send reminders before anything changes, and you can export your data at any time, free of charge.

We are rolling out automatic deletion of practice data at the end of the read-only window. Until that is live, lapsed practice data is retained rather than deleted, and we will delete it on request at any time. Once automatic deletion is live we will say so here, and deleted practice data cannot be recovered.

Keeping your data: instead of cancelling fully, you can switch to a read-only storage plan (£5 per month) to keep your data indefinitely and reactivate the full plan whenever you like.

Your record-keeping duties: you are responsible for retaining your own clinical and business records for any period required by law or your professional body. booki provides export tools so you can do this; once your data is deleted, we cannot restore it.

8. Data protection

For the personal data of your clients, you are the data controller and booki is your data processor — we process that data on your instructions to provide the service. For your own account and billing data, booki is the controller. Our handling of personal data is described in our Privacy Policy, and a Data Processing Agreement governs our role as your processor.

9. Acceptable use

Don't use booki to break the law, infringe others' rights, send unlawful or unsolicited messages, or attempt to disrupt or gain unauthorised access to the service. We may suspend or terminate accounts that do.

10. Availability and liability

We work to keep booki available and secure but don't guarantee uninterrupted or error-free service. To the extent permitted by law, booki is not liable for indirect or consequential loss, and our total liability is limited to the fees you paid us in the 12 months before the claim. Nothing here limits liability that cannot be limited by law.

11. Changes to these terms

We may update these terms from time to time. We'll post the updated version here and, for material changes, give reasonable notice. Continuing to use booki after changes take effect means you accept them.

12. Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have non-exclusive jurisdiction.
